A shared link is one link that many people can use. You share it with a group of people, and everyone opens the same link, confirms their own email, and runs your verification. Use it when many people need to verify themselves, for example new members, new hires, or event attendees.
This is different from an invite sent to one named person. To verify a single, known applicant, start a verification instead.
When to use a shared link
Section titled “When to use a shared link”Reach for a shared link when:
- Many people need to verify and you do not want to add each one by hand.
- You want to paste one link into an email, portal, or message and let people start on their own.
- Each person should confirm their own email before they start.
For a single, known person, use Start a verification.
Create a link
Section titled “Create a link”- In the console, open Applicants.
- Open the + New menu and choose Create shared link.
- Pick the workflow that everyone who opens the link will complete.
- Give the link a name. This is your own label for finding it later. It is not shown to the people who verify.
- (Optional) Open Advanced options to fine-tune the link. Every option has a sensible default, so you can skip this and create the link right away.
- Choose Create link, then copy the link and share it.
Advanced options
Section titled “Advanced options”These are all optional. The summary under Advanced options shows the current settings at a glance, so you can see what a link will do without opening the section.
- Link address. The readable part of the public link, for example
spring-2026-members. Leave it blank to generate one from the name. - Reuse verification. If someone has already verified within this many days, they skip verification and are not charged again. Defaults to 365 days. See Already verified below.
- Maximum applicants. Once this many people have started, the link stops accepting new applicants. Leave it blank for no limit.
- Expiry date. After this date the link stops working. Leave it blank so it never expires.
- Allowed countries. Restrict who can start, based on their country. Leave it blank to allow any country.
- Landing page. A custom title, subtitle, and description shown when someone opens the link. Leave it blank to use the default wording.
What people see
Section titled “What people see”When someone opens the link:
- They land on a short page that explains what they are about to do.
- They enter their email address.
- They receive an email code and enter it, which confirms the address is theirs.
- They either start the verification, or, if they already verified recently, they are told they are all set with nothing more to do.
For the verification itself, see What the applicant sees.
Already verified
Section titled “Already verified”The Reuse verification window stops the same person from verifying twice in a short period. If someone opens the link and already has a clean, completed verification inside the window, they skip straight to an “all set” message. They do not run the workflow again, and you are not charged again.
Anyone who was declined, is still in review, or last verified longer ago than the window will run the verification again.
See who used a link
Section titled “See who used a link”Open Applicants to see everyone who has verified, including the people who came through a link. Open the Links tab to see your links, and select a link to see the applicants who used it. Each verification counts against your plan the same as any other, so a link that many people use draws from your plan as they verify.
Manage links
Section titled “Manage links”Open the Links tab to manage your shared links. Each row has an actions menu, and opening a link shows the same controls on its detail page. You can:
- Copy a link’s address (from the detail page) to share it again.
- Disable a link. Disabling stops new people from starting, but the link stays in your list and anyone who already finished keeps their results. You can re-enable a disabled link at any time to start accepting applicants again. Disable a link when a campaign ends or you no longer want new applicants coming through it.
- Delete a link. Deleting removes the link and stops its address from working. Anyone who already verified through it keeps their results, and their verifications stay in your Applicants list. Deleting cannot be undone, so disable a link instead if you might want to reopen it later.
Deleting a workflow that a link uses
Section titled “Deleting a workflow that a link uses”A workflow cannot be deleted while an active shared link still points to it. If you try, the console tells you how many shared links are in the way and links you straight to the Links tab. Disable or delete those links first, then delete the workflow.
